Submitting a Bid

Bidder Registration: Invitations to Bid, Request for Proposals, and quotations are solicited from bidders whose names are maintained on a computerized bidders list. This list is maintained in the Purchasing Department and is listed by the commodity and/or service offered.

Bidders may register with the County to receive invitations for the commodities and/or services they supply. Bidder application forms may be obtained from this website or by calling or visiting the Purchasing Office.

It is important that bidders keep the County appraised of any changes in address, telephone numbers, ownership, or any other factor which may affect a change in the business.

Submission of Formal Bids: Bids must be submitted on the forms provided by the County. For bid specifications, forms, and submittal requirements, please contact the Clay County Purchasing Department.

Bid Submittal: All bids must be clearly and properly identified as outlined in the bid specifications, and submitted to the Purchasing Department by the advertised deadline date and time. Any submittal received after the cutoff deadline will not be considered, and will be returned unopened to the bidder.

Bid Opening: All formal bids are opened and read publicly at the location, time and date stated in the bid documents.

Award: Bids will be awarded to the most responsive and most responsible bidder. The County is not bound to make an award based on price alone.

Deliveries: All shipments to Clay County shall be f.o.b. destination to the location(s) listed on the Purchase Order. Unless specifically excepted, partial shipments are usually acceptable.
